Who we are

MB Systems LLC ("MB Systems," "we," "us") is an Indiana limited liability company that operates mattblake.ai and provides AI phone and chat agents and related services to businesses ("clients"). This policy explains how we handle information from our website, our clients, and the people who contact our clients. Questions: matt@mattblake.ai.

Information we collect

• Client information: name, business name and details, contact information, account login details, and billing information. Payments are processed by Stripe; we don't store full card numbers.
• Business content and account access: information clients provide to train their agent, such as services, prices, hours, and policies, and access clients grant to tools we set up or manage, such as calendars, websites, social pages, and Google Business Profiles.
• Conversation data: when our agents answer calls, chats, and messages for a client, we process what the caller or sender shares, such as name, phone number, email, address, and service needs, along with call recordings, transcripts, and summaries. We handle this information on behalf of that client.
• Website data: basic technical information such as IP address, browser, device, and pages visited, and cookies needed for login, security, and basic analytics.

How we use information

• To set up, run, monitor, and improve each client's agent
• To send conversation summaries, notifications, and reports
• To process payments and manage accounts
• To provide support and communicate with clients
• To protect our services and meet legal obligations

We do not sell personal information, and we don't use conversation data for advertising.

AI processing

Conversations are processed by third-party AI providers to understand requests and generate responses. We use conversation data only to provide our services and to improve the agent for the client it belongs to.

How we share information

We share information only:

• With service providers that help us run the service, including our AI agent platform, AI model providers, phone and messaging carriers, payment processing, website hosting, email, and any calendar or scheduling tools a client connects
• With the client whose customers' conversations we handle
• When required by law or to protect rights and safety
• As part of a merger, sale, or transfer of our business

Text messaging

We send text messages to clients, such as conversation summaries, account notices, and support messages, and, on behalf of clients, to people who contact them, such as appointment confirmations and follow-ups. Messages are sent only to people who have provided their number and agreed to be contacted. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time or HELP for help. Carriers are not liable for delayed or undelivered messages.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Call recording

Calls handled by our agents may be recorded and transcribed. Clients are responsible for giving any recording notices and obtaining any consent required where they operate.

If you contacted one of our clients

That business decides how your information is used. Contact the business directly with privacy requests, and we'll help them respond.

Data retention

We keep information while an account is active and as long as needed to provide the service, resolve disputes, and meet legal obligations. After an account ends, we delete or de-identify client data within a reasonable time unless we're required to keep it. Clients can request deletion sooner.

Security

We use reasonable safeguards to protect information. No method of transmission or storage is completely secure.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information. To make a request, email matt@mattblake.ai. We'll verify your request and respond as required by law.

Where information is processed

Our services are operated in the United States, and information is processed there.

Children

Our services are for businesses and are not directed to children under 13. We don't knowingly collect their information.

Changes to this policy

We may update this policy at any time. For material changes, we'll notify active clients by email or text before they take effect. Continued use of our services after changes take effect means you accept the updated policy. The "Last updated" date shows when this page was last revised.
